What Is RAG? How to Build an AI Assistant That Answers Accurately from Your Company Documents

A simple explanation of Retrieval-Augmented Generation (RAG), why it makes AI models answer from your own files instead of guessing, and the building blocks of a successful RAG system for your business.

AI models like ChatGPT and Claude are very good at understanding language and writing answers, but they know nothing about your company's policies, product catalog, or support manual. Ask them about something they don't know and they may invent an answer that sounds convincing but is wrong. The most widely used solution to this problem today is called RAG.

What is RAG?

RAG stands for Retrieval-Augmented Generation. The idea is simple: before the model answers a user's question, the system first searches your company documents for the passages most relevant to that question, then hands them to the model and asks it to answer based on them. The answer is grounded in your real information, and the system can even cite the source it came from.

How does a RAG system work?

  1. Document preparation: company files (PDF, Word, web pages) are uploaded and split into small chunks.
  2. Embedding: each chunk is converted into a numeric representation (an embedding) that captures its meaning.
  3. Vector database storage: chunks are stored in a vector database such as Qdrant, built to search by meaning rather than exact keywords.
  4. Retrieval: when a user asks something, the question is embedded and the closest chunks are fetched.
  5. Generation: the language model receives the question plus the retrieved chunks and writes an accurate answer.

Why RAG instead of training your own model?

Training a model on your data is expensive and must be repeated whenever information changes. With RAG, you simply add a new document to the database and it is available immediately. RAG also reduces hallucinations and lets you enforce permissions, so each user only sees the documents they are allowed to access.

Practical use cases

  • A support assistant that answers customers from the product manual.
  • An internal assistant that answers employees' HR and procedure questions.
  • A pharmacy or medical assistant that searches drug leaflets.
  • Multi-tenant systems serving several companies with full data isolation for each one.

Tips for a successful RAG system

Clean and organize your documents before uploading them, choose a sensible chunk size, test the system with real questions from your customers, and add conversation memory so the assistant understands follow-up questions.

At SAMI DEVELOPER we have built complete RAG systems using n8n, Qdrant and FastAPI that run on Telegram and the web. If you want an AI assistant that truly knows your business, get in touch.
